Degree certificate and European Degree Supplement (EDS) applications

Graduates of both officially approved programmes and University of Girona-specific programmes must have met all the requirements established in the corresponding curriculum before they will be issued university degree certificates.

Graduates of university bachelor’s and master’s degree programmes may apply to the Online Secretary for their degree certificates. Graduates of other programmes must apply in person for their certificates in the academic secretary’s office of the corresponding faculty or school.

Degree certificates applications submitted after 12 September 2003 (Royal Decree 1044/2003, of 1 August 2003; Official Gazette of the Government of Spain 218, of 11 September 2003) automatically include an application for the European Degree Supplement (EDS), which is only available for official programmes of study.

On line application

The academic secretary’s office will verify that applicants have completed all their credits before informing them by email that they can apply for their degree certificate and EDS.

To apply, applicants must go to the Tràmits (Procedures) section of the Secretaria en Xarxa (Virtual Secretary's Office), identify themselves, click on Sol·licitud de títol acadèmic i suplement europeu al títol (SET) (Application for degree certificate and the European Degree Supplement (EDS)) and follow the instructions. The entire procedure, including paying the subsidised fee, can be completed on line. When completed, applicants will be issued a PDF of the decree certificate payment receipt in three languages (Catalan, Spanish and English).

The issued document is legally valid. It contains an electronic signature and a secure verification code (SVC). If it is submitted in either paper or PDF format as part of an administrative procedure, it can be authenticated through the validation means available on the UdG electronic site link UdG.

Paper application

In programmes not equipped to process on line applications, students must download a degree certificate application in paper format from the Forms page and submit it, together with the original and a photocopy of a current ID card or passport, to the academic secretary’s office of the corresponding faculty or school. The personal information on the degree certificate, including any diacritical marks, will be the same as on this document. If any of this information changes after the certificate has been issued, the certificate must be accompanied by an official document from the Civil Registry reflecting the change. Applicants will be informed about the certificate’s status by email message sent to the address they used to register at the UdG. It is therefore recommended to check – and change if necessary – this address at the Virtual Secretary's Office (La meva UdG -> Expedient -> Dades personals).

The academic secretary’s office will verify that students have met all requirements before sending them a letter requesting they pay the subsidised degree certificate application fee established by decree of the Government of Catalonia for official studies, or the fee established by the University’s Board of Trustees for UdG-specific studies.

Once degree certificate applicants have paid the corresponding fee or have proven they are exempted from paying part or all of it, the academic secretary will issue a decree certificate payment receipt, which for all intents and purposes accredits the holder as a graduate until the final degree certificate is issued.

Collecting degree certificates and the EDS

Once printed, the degree certificates and the EDS will be sent to the Academic Administration Section of the Academic and Student Administration Service, which will notify graduates by email and provide instructions to pick up the certificate and the supplement.

The notification opens a period of five calendar years to collect the degree certificate. The expiry of this deadline may result in the destruction of the certificate, in accordance with current regulations. 

Graduates must pick up the degree certificate in person, presenting official proof of identity and signing the registry to confirm that they have picked up the degree certificate. If the degree certificate has been applied for in person (in the academic secretary's office), they must also submit the decree certificate payment receipt, which will no longer be valid once the degree certificate has been issued.

In accordance with Spanish regulations, if graduates cannot pick up official degree certificates in person, they may grant power of attorney to another person. In that case, the authorised person must present the power of attorney document, a photocopy of the graduate’s official identification document and, if necessary, the decree certificate payment receipt.

In the case of EDS and University of Girona-specific degree certificates, graduates may authorise another person, in writing, to pick them up. That authorisation must be submitted along with photocopies of the identification documents of both the applicant and the authorised person, who must also sign the registry to confirm that they have picked up the degree certificate.

The graduate should confirm that all the information on the degree certificate is correct before signing it. The certificate is valid only after it is signed.

Forwarding degree certificates

Graduates may apply on-line to have their degree certificate forwarded to the local office of the Ministry of Education closest to their place of residence, if they live in Spain, or to the closest Spanish embassy or general (not honorary) consulate, if they live in another country.

Applicants must go to the Tràmits (Procedures) section of the Secretaria en Xarxa (Virtual Secretary's Office), identify themselves, click on Sol·licitud d'enviament de títol oficial (Application to forward official degree certificates) and follow the instructions. 

In accordance with the decree establishing the fees for academic services at public universities of Catalonia, the boards of trustees of the public universities of Catalonia have established the fees for sending university degree certificates. The fees for this service are available on the Academic fees webpage.

Provisional and duplicate degree certificates

Until the final degree certificate is issued, the applicant may apply for a provisional degree certificate from the Academic Administration Section to submit to professional organisations or as part of an administrative procedure.

Graduates of the University of Girona may request a duplicate degree certificate from the Academic Administration Section only under the following circumstances: a) The personal information of the certificate holder has changed since the application was submitted. In this case, an official document verifying the change must be submitted with the application for a duplicate

b) The original degree certificate has been lost. In this case, the certificate holder must report the loss in the Official Gazette of the Government of Spain (BOE). If the certificate has not been found within 30 days, the holder may apply for a duplicate, submitting a copy of the loss report.

c) The original degree certificate has been damaged or destroyed. In the case of damage, the damaged certificate must be submitted with the application. In the case of being destroyed, the cause of destruction must be made clear, if necessary, in an official report issued by a competent authority. If the University of Girona is responsible for the certificate’s damage or destruction, a duplicate will be issued at no cost.

To obtain a duplicate degree certificate, applicants must pay the corresponding fee, which is the same as the fee for the original certificate, as established by annual decree of the Government of Catalonia.

Personal academic certificate (CAP)

All persons who have an academic transcript on record at the University of Girona can apply for and obtain, at any time, a personal academic certificate (CAP). The CAP is an official document certifying the status of the transcript (curriculum, overall average mark, degree syllabus requirements and, where appropriate, programme completion and diploma issuance dates).

To apply, applicants must go to the Tràmits (Procedures) section of the Secretaria en Xarxa (Virtual Secretary's Office), identify themselves, click on Certificat acadèmic personal (CAP) (Personal academic certificate) and follow the instructions.

The fee for the certificate is established in accordance with the decree fixing fees for academic services at public universities in Catalonia. Please check the Academic fees webpage.

The document is issued in triplicate (in Catalan, English and Spanish), in PDF format and electronically signed.
